Field Service Automation

ServiceM8 Quote and Reactivation Automation

Quote synchronization, contact review, and reactivation workflows connecting ServiceM8, n8n, and GoHighLevel.

Sanitized evidence and reconstructed architecture

Workflow context

Quote follow-up depends on usable contact data and current job status. Historical jobs also need a separate preparation path before contacts can enter a reactivation workflow.

My implementation role

Implementation of the n8n quote synchronization, status checks, contact selection, and reactivation preparation and release workflows shown here.

Architecture and connected systems

  1. Scheduled query
  2. Eligible sent quotes
  3. Select contact
  4. Already processed?
  5. Next quote
  6. Needs manual review?
  7. Flag for review
  8. GHL contact upsert
  9. Save processing state

Verified system behavior

  • Filter eligible sent quotes
  • Select a company contact with a company-data fallback
  • Check processed-job records before downstream action
  • Separate manual review from contact upsert
  • Read current ServiceM8 job status and update GHL status tags
  • Build company and contactability summaries from historical jobs
  • Store reactivation candidates and release a selected cohort

Technologies

ServiceM8, n8n, GoHighLevel, APIs

Evidence note

The builder captures verify configured modules. Some earlier captures show executed paths, while later views show Inactive. Neither establishes business outcomes or current production status. Quote follow-up conversation and GHL captures are related references; their exact launch contract is not asserted.
